| DFA Delete Icon & Permission (Part 2) | We have found that the delete icon is available to all users, as there is not a permission created by default for this when CalMHSA creates a screen. This has been added to CalMHSA’s standardized workflow when creating screens. The default standard going forward will be that anyone who has “Document Code (Edit)” permission to a document will also have “Screen (New Mode)” permission to delete. This is to allow users to delete a document that they’ve created in error before they save the document. They will NOT have permission to delete in “Screen (Update Mode)”, which means that once they save the document, they will not be able to delete it. “County Affiliate SysAdmin” and “CalMHSA SysAdmin” are the only user roles who will be granted permission to delete in both “Screen (New Mode)” and “Screen (Update Mode)” by default for all screens. There are a few exceptions where a delete icon must not be present at all, in order to avoid causing errors by deleting (example: “County Holidays (Admin)” cannot have a delete icon, as this would cause the table data to not match the UI data.) CalMHSA is creating a script to retroactively add these permissions to all CalMHSA-created screens. After beginning this project, we found that screens created by Streamline also do not automatically get a permission created for the delete icon. We will be addressing those screens in Part 2 of this project. |

| Add Screens: Refunds to MCO County Claims Processing user role | Refunds screen needed to be added to an MCO role. Also, this screen was granted for non-billing roles so were denied to those user roles. Medical Records/Quality Assurance had access to these and due to the administrative nature of that role, was left present. |
| Change AIMS document to NOT have signature date as effective date | Streamline had set this document to have the signature date replace the effective date. We have switched this to be able to back-date documents. |
| Change Configuration Key ShowInactiveNDCsForXNumberOfDays | The July MSP included a new configuration key that Streamline automatically set to “on”, which usually doesn’t occur (Item #40). The configuration key, ShowInactiveNDCsForXNumberOfDays, allows inpatient units that have a supply of medications that have become inactive at the Federal database level. This configuration key allows users to submit orders of these inactive medications within so many days of them becoming inactive, while also denoting the medication as inactive by formatting it in bold, red, italics. CalMHSA is setting this configuration key to “0” to disable the ability to order inactive medications. We will also be setting this as Primary Driven but we will Allow Modification By Affiliate for any county that may be able to use this functionality at their inpatient units. |
| Please Change Appointment Search Recode Value for Not Urgent (TimelyAppointments) | Currently, the recode for “Not Urgent” is set to 240, which is 10 days. However, since it’s measured in hours, it’s actually 10 calendar days, rather than 10 business days. 10 business days is actually 2 business weeks so 2 calendar weeks would be better (aka 14 calendar days) to account for weekends, since we’re having to measure in hours rather than business days. |
| Remove validation for Safety/Crisis Plan (core) that requires “next review” | There’s no way for the system to stop the recurring “to-do” items for “next review”. SL suggested removing the validation for the “next review”, as if that field is blank, no new document will be created. Testing in progress. |
| Deactivate document validations for Safety/Crisis Plan that requires “next review” | The Safety/Crisis Plan (Core) document was requiring a “next review” date to be entered, which was creating perpetual follow-ups, even after a client was discharged from a program or no longer needed a safety plan. CalMHSA has deactivated the following validations in CalMHSA Prod. However, these validations were duplicated across all county systems. We are working with Streamline to delete these duplicate validations, but in the meantime, counties can deactivate the following validations for this document: “Next Review – Review Safety Plan Every X Days is required.” “Review – Review Crisis Plan Every X Days is required.” |

This is because the people needing access to the Services (My Office) list page are often setting up telehealth appointments. Also granted “TelehealthMeetingConformation (Client)” screen, in case this is a popup associated with the setup screen. |
| Sonoma – Update hours on recode for TimelyAppointment | Changed the Recode category “Timely Appointment” to match current timeliness standards. This is connected to the Appointment Search feature and is NOT connected to CalMHSA’s TADT documents or reports. Changed Urgent to be 48 hours (was 0) and Not Urgent to be 240 hours (10 days, was 8 hours). Please note that this is still 10 calendar days, since it’s measuring in hours. Emergent was left at 24 hours. |
| Reset “Allowed to Open Directly” for “Narrative” note screen | A county had a bug where “Allowed to Open Directly” was selected for a progress note. CalMHSA used the sync to reset this by marking this as checked in all environments, letting the sync occur, then unchecking it and letting the sync occur again. This should reset the checkbox to unchecked in all county prod environments. |

Add “Preferred Phone” tooltip permission to all base user roles | June MSP Item 126 added a new tool tip “Preferred Phone”, which is connected to ‘Client Information screen: Demographics tab: Communication Preferences section’. This is NOT the same as “Phone”, which pulls the primary phone number from ‘Client Information: General tab: Phone Numbers section’. Permissions for this new tool tip will be added to all base user roles. |
Change EmergencyAccessMinutes config key to be 20 (minutes) – set to primary push, then set to all edit by affiliates | We are rolling out information on the Emergency Access functionality. We are setting the default time limit for this functionality to 20 minutes using this configuration key. |
Remove ‘Organizational View’ permission from the Front Desk/Reception Role | We received a request from a county to remove the ability to create Organizational Views in the Staff Calendar from all user roles except the County Affiliate Sys Admin user role. We had sent out an email to appropriate county contacts to request feedback before making this change. We received feedback from 4 counties. One county indicated that this would not impact them (indifferent) and one county indicated that they don’t see the harm in including this permission for the Reception/Front Desk role, but two counties indicated that they agreed with the requesting county. Due to this vote (3 for, 1 soft against, and 1 indifferent), we have decided to move forward with this change. This change will take place on Friday, 9/5/25 at the end of the day. |

| Access to Electronic Prescription Status (My Office) report needs to be reviewed – Possible CDAG issue. | We have found that the report “Electronic Prescription Status” is not CDAG’d. Since this is related to medication management, we have removed permissions from base user roles (except the CalMHSA and County Affiliate Sys Admin user roles). This report will be granted to the Medication Rx user role, which provides access to the e-prescribing module the county is using. Since these users already have access to the information, which isn’t CDAG’d, via their e-prescribing module, we allow this type of information to be seen in SmartCare as well. |
| Add “Screen (Tabs)” permission to all user roles with “Client Information: External Identification” granted | There’s a tab called “External Identifications” in the Client Information screen. This is used to include alternative ID numbers for clients. Example use cases would be a jail ID, previous EHR ID, Social Services ID, etc. Permission to this Client Information tab was granted to Sys Admin users, but Streamline indicated that a second permission was required. This has been remedied and now Sys Admins should be able to both see and access this tab. We are gathering feedback on whether additional base user roles should have access to this screen. We are currently leaning toward granting all base user roles access to this tab. |
