CalMHSA and Help Desk Closed July 3
CalMHSA and the Help Desk will be closed July 3 in observance of the Independence Day holiday.
MSP Testing Update: Excel Task Sheet Now Available, Meeting July 9
Following the June MSP Testing meeting, an excel spreadsheet containing the April/May MSP changes and issue fix tasks is now available for download on the Release Notes page of the Knowledge Base.
The spreadsheet includes a legend on the first tab to help guide your review. This new resource is intended to ease navigation and improve the efficiency of the MSP testing process.
The next MSP testing meeting is scheduled for July 9 at 1 p.m.
Please don’t hesitate to reach out if you have any questions.
Update to Diagnosis Document: “Other General Medical Conditions” Field
To support documentation consistency and prevent an unintentionally blank field, the Other General Medical Conditions field in the SmartCare Diagnosis document will now automatically populate with ‘N/A’ by default.
What this means for staff:
- If the person you are supporting has no other significant general medical conditions, no action is needed — N/A will remain in the field.
- If there are relevant medical conditions to document, simply delete the text and enter the appropriate clinical information.
This update will be deployed to the production environment on July 16.
Questions about documentation practices can be directed to [email protected].
Medication Management Rx: Script Reason Dropdown — Values Updated
This applies to SmartCare Rx but not to CalMHSA Rx.
When a prescription cannot be sent electronically in Medication Management Rx, SmartCare automatically attempts to fax the prescription. If the fax attempt is also unsuccessful, providers can print the prescription for manual faxing or hand delivery.
In these situations, staff are required to select a Script Reason to document why the prescription was not transmitted electronically.
Current placeholder dropdown values | Being replaced with the following descriptive options |
Script Failure | System Transmission Failure on Prescribing Side |
SCRIPTREASON1 | Pharmacy Transmission Error |
SCRIPTREASON2 | Medication or Authorization Issue |
Understanding the Difference
Although the terms are similar, they represent different scenarios:
- Transmission Error – The system attempted to send the prescription electronically, but the transmission did not complete (for example, due to a network interruption or session timeout).
- Script Reason – The prescriber is documenting why the prescription could not be completed electronically, and it is instead being faxed or printed. This is a required documentation step and is not an automatic system alert.
Selecting the appropriate Script Reason helps ensure accurate reporting and allows CalMHSA to distinguish whether issues originate from the prescribing system, the receiving pharmacy, or medication-level requirements.
When to Escalate
If you experience repeated transmission failures that cannot be resolved through standard troubleshooting, please submit a ticket through the CalMHSA Customer Ticket Portal or contact your site administrator.
For urgent prescribing needs, use the fax or print workflow to avoid delays in patient care while the issue is resolved.
This addition will be deployed to the production environment on July 16.
Questions about this update can be directed to [email protected].
Home Medication Date Entry: Guidance for Identified Issue
For SmartCare Rx only (versus CalMHSA Rx), specifically home medications (self-reported), an issue has been identified where entering a value in the Date Initiated field can overwrite the Start Date when an End Date is not entered. This may result in inaccurate medication date information.
Until this issue is resolved, please do not populate the Date Initiated field for home (self-reported) medications. Instead, document medication dates using only the Start Date and End Date fields.
CalMHSA is actively working with Streamline on a permanent fix. An estimated timeline for the resolution will be shared as soon as it becomes available.
Update to ASCMI Preferences Visibility
Staff can now more easily review a client’s ASCMI consent preferences as captured within SmartCare by navigating to the Client Information Screen (Custom Fields tab) and viewing the summary of the client’s ASCMI data sharing preferences for each data type, as well as the date of signature and form expiration date. This section will automatically update with any new ASCMI data captured within SmartCare on a per-client basis.
Associated Notes to Be Removed from NDC Procedure Codes
CalMHSA previously announced the planned removal of associated notes from NDC procedure codes and requested county feedback by June 30. Because only positive feedback was received, this change will move forward.
The update is planned for deployment to the production environment by the end of July 2026. A follow-up Bulletin will be published once the change is successfully deployed.
