Contractor Provider Invoicing: County Feedback Requested

CalMHSA is currently preparing the Invoice Generators for fiscal year 2026–27. The proposed approach is to exclude the FY 2023–24 tabs from the updated versions. Existing versions including FY 2023–24 will be archived on the website and remain accessible if prior-year invoicing is needed.

CalMHSA is seeking county input on whether the FY 2023–24 tabs should be retained in the new versions.

If you have any concerns or feedback on this approach, please share them with [email protected] at your earliest convenience.

Renaming SmartCare Documents

CalMHSA plans to rename select SmartCare documents to improve clarity and reduce confusion:

  • “California CANS” to “California IP-CANS”
CalMHSA has used the IP-CANS since go-live (which is simply the CANS-50 plus the Trauma module). While no changes to the document are required for BHIN 25-035 compliance, this update clarifies its current use.
  • “CalAIM Assessment” to “Mental Health Assessment”
This change is intended to better reflect its use for SMHS and reduce confusion for new users.

Planned implementation is end of day Friday, May 29, with availability to users Monday, June 1.

CalMHSA recognizes these updates will require revisions to KB articles, LMS courses, and any county-developed training materials — a worthwhile endeavor, as the changes are intended to improve long-term clarity and consistency.

Counties with concerns should contact [email protected] with specific feedback. If no feedback is received, CalMHSA will proceed with the updates.

Contact Provider Charge Export Enhancement: Degree Selection

The Contact Provider Charge Export has been enhanced to improve the accuracy of degree selection when a clinician has overlapping degree records. The following logic is now applied to ensure the most appropriate degree is reflected in the export:

  • When a clinician has overlapping degrees and only one degree is eligible to perform the associated procedure, that eligible degree will be selected automatically.
  • When multiple overlapping degrees are eligible, the export will prioritize the degree without an end date.
  • If multiple eligible degrees do not have end dates, the export will display the most recently created degree on record for the clinician.
