CalMHSA and Help Desk Closed for Juneteenth
CalMHSA and the Help Desk will be closed on June 19 in observance of the Juneteenth holiday.
ASCMI and Coordinated Care Consent — Known Issue Resolution
Last week’s Bulletin reported a potential issue involving CDAG rules not being reinstated in certain situations after a client signed a new ASCMI form.
After further investigation, it has been determined that this was not a system error. The behavior reported was an isolated occurrence and does not reflect an issue with how CDAG rules are applied.
As a result, no changes or fixes are required, and no action is needed from counties.
Fiscal Year 2026-27 Procedure Rates Available in QA
CalMHSA has deployed fiscal year 2026-27 procedure rates to the QA environment for testing. The rates have a temporary effective date of June 1. When deployed to Production, the effective date will be updated to July 1.
Important Notes
- This deployment includes FY 2026-27 procedure rates only.
- If your QA environment has not been recently refreshed, some rates may not appear.
- This may occur when required data (e.g., programs, procedure codes, or mode of delivery) does not exist in your QA environment.
- A follow-up notification will be sent once the production deployment date is confirmed.
Please review applicable rates and direct any questions to Khristy Pease ([email protected]) or Lisa Kirlin ([email protected]).
Associated Notes to Be Removed from NDC Procedure Codes
Currently, NDC procedure codes in SmartCare have associated note types, even though a note is not required to complete these services. CalMHSA is proposing to remove the associated note types from NDC procedure codes as part of ongoing efforts to support travel and documentation time tracking enhancements.
Because notes are not required for NDC claiming, this change is not expected to impact existing workflows.
Counties that would like to retain the associated note types should submit feedback to [email protected] by June 30. If no concerns are received, CalMHSA will proceed with removing the associated note types from NDC procedure codes.
Streamline Default Reports – County Review Period Extended
Based on feedback received during a recent Sys Adm meeting, CalMHSA will postpone the planned deactivation of SmartCare default reports to allow additional time for county stakeholders to review the list and determine which reports, if any, should be retained.
Counties are encouraged to continue reviewing the SmartCare Default Reports list and discuss any concerns internally.
This topic will be revisited during the July 8 Sys Admin meeting, where counties will work toward a final recommendation about which reports should remain active and establish a timeline for deactivating the remaining reports.
SmartCare URL Bookmarking Best Practices
CalMHSA has received reports of users encountering blank screens or error messages when attempting to access their SmartCare login page. The issue has been traced to saved bookmarks that reference an invalid URL.
To prevent login issues, users should update any existing SmartCare bookmarks to a URL ending in /Login.aspx.
For step-by-step instructions, please refer to the new SmartCare Bookmarking Best Practices Knowledge Base article. If you have questions or require assistance, please submit a Help Desk ticket.
ASCMI Form – Care Partner Field Issue
CalMHSA has received reports of an issue affecting the Care Partner field in the Care Partner section of the ASCMI form. When creating a new ASCMI, the field may auto-populate a user other than the logged-in author, and updates to the field may not persist after the document is saved.
This is a known issue and has been escalated to Streamline for resolution. In the meantime, the following workaround has been validated:
- Update the Care Partner Name field to the correct staff member
- Save the ASCMI document
- Log out of SmartCare completely
- Log back in, refresh your tables, and reopen the document
- Verify that the updated Care Partner Name is displayed correctly
CalMHSA will provide an update once a permanent fix is available. If you continue to experience this issue after following the workaround, please submit a Help Desk ticket.
ASCMI Form Enhancement: TIN Now Optional
DHCS has updated the ASCMI form so that the Taxpayer Identification Number (TIN) field within the Care Partner Information section is now optional.
SmartCare has been updated to align with this change. Users may now successfully complete and submit ASCMI forms without entering a TIN.
