Updated Legal Status Orders, LPS Workflow

Updated legal status orders are now available in Client Orders to align with current BHIN regulations.

For System Administrators

In the Order Setup (Administration) screen:

  • The new legal status orders are currently inactive in the system.
  • System administrators may activate these orders when ready by updating them in the Order Setup screen, allowing each facility to transition on its own timeline.
  • Once all in-progress workflows are complete, system administrators may inactivate the previous LPS orders labeled “-Legal.” This step can be completed at the facility’s discretion.

Please notify our team once your county has fully inactivated all previous “-Legal” LPS orders. CalMHSA will mark these as inactive in the primary environment after all counties have completed their transition.

For Clinicians

In the Client Order (Client) screen:

  • Once system administrators have activated the new legal status orders, clinicians must create all new client orders using the updated orders labeled “(Legal).”
  • The previous version labeled with “-Legal” should no longer be used for new entries after the transition.

New and Updated Reports

  • CalMHSA 110 – Legal Status Tracking Report for Clinical Use
New report designed to show details related to the new LPS orders
  • CalMHSA 806 – LPS Data Collection Report
New report supporting LPS data collection for the updated LPS orders
  • CalMHSA 105 – Legal Status Tracking Report for Clinical Use
Updated report; now displays details related only to the previous LPS orders
  • CalMHSA 805 – LPS Data Collection Report
Updated report; now displays LPS data only for the previous LPS orders

Inpatient/Intensive Outpatient Coding Document Use

CalMHSA is assessing use of the Inpatient/Intensive Outpatient Coding document within SmartCare. Counties that provide inpatient services and are currently using this document are asked to confirm usage by emailing [email protected]

Access Change to MAR Admin Edit

The Medication Administration Record (MAR) Admin Edit button has been removed from all user roles and is now restricted to the county system administrator role. This update is intended to strengthen system safeguards and ensure tighter control over MAR edits.

If workflows are impacted by this change or additional access is needed, please coordinate with your system administrator.

Conference Hotel Deadline Extended to May 1

CalMHSA’s in-person EHR conference is just weeks away, and the room reservation deadline has been extended. Be sure to reserve your room at the discounted rate by May 1.
