VIP Sequestering Deployed to Production 

VIP client sequestering has been deployed to production environments, and knowledge base articles are now available.   

CalMHSA has granted permissions to the screens associated with sequestering a VIP client to only the county affiliate sys admin user role and the CalMHSA sys admin role. While others may take on this task at the county level, it is important for the default settings to be as private and secure as possible. Counties may create their own user roles or adjust user permissions at their own discretion. Permissions associated with this new functionality, as well as a step-by-step process of how to sequester a client from all staff, can be found at VIP Client Sequestering.  

This functionality also allows users to see that a client exists without being able to open the chart. Currently, if a client is sequestered from a user, that user cannot see that the client exists in the system. When searching for the client, no search results appear. With this new functionality, the system can allow the user to see that a client exists, but attempting to open the chart will generate an error that the chart is sequestered. The user can then request access to that chart.   

This “client access request” functionality is addressed via permissions. For privacy and security reasons, CalMHSA will not add this permission to the standard user roles, but counties will be able to add access for their users as needed. Additionally, a new article, Sequestered Clients, is available on the Clinical Documentation page; the article details how search results will appear for sequestered clients and how to request access. 

Please note that clients who have already been sequestered by CalMHSA in county systems will not be shown on the new list page. We are exploring the reasons for this and will develop a strategy as we gain more understanding.  

Counties not comfortable with the new functionality can request that CalMHSA continue to sequester clients on their behalf via the SmartCare Sequester Request process. This process will remain an option for counties at least through the end of the calendar year.  

 

In Testing: Contractor Notes Override, Consent Revoked Stamp

CalMHSA has been working on a way to override the need for a service note for contractors who keep their treatment information in their own EHR but enter service information into SmartCare. This functionality was just released to QA environments and is being tested by CalMHSA. Counties may also test, if desired. Additionally, the functionality to demonstrate that consent documents being viewed are clearly marked as “revoked” is now being tested in QA environments. Related knowledge base articles will be updated when the functionality has been moved into production environments. 

 

EHR Bulletin Holiday Schedule 

The EHR Bulletin will not be published on specific weeks — including the upcoming holidays — through the end of the year. Those dates are: 

  • Nov. 14: Veteran’s Day holiday Nov. 11, and CalMHSA’s team will be in focused team planning sessions Nov. 12-14. 
  • Nov. 28: CalMHSA closed for the Thanksgiving holiday Nov. 28-29 
  • Dec. 26: Publication will resume Jan. 3. 

 The Help Desk will remain available during these times.
