November MSP Build Deployed March 3

The November MSP build was released to all counties’ QA systems on March 3. Detailed information about the changes in the release has been segmented into three parts, available in these links: Part 1, Part 2, and Part 3.

Please encourage key members of your team to review and test any item(s) relevant to your work. To aid review of these build release items, below is a guide to the color-coding used in the attached documents:

  • Green: Changes have been tested and deployed to production as part of a prior hotfix build. No need to test (unless you would like to double-check the changes).
  • Pink: Changes that CalMHSA is testing; no need for county testing unless there is specific interest. However, background information may be missing without access to internal communications.
  • Yellow: New functionality introduced to the system. Anything not highlighted in pink is not directly related to one of the CalMHSA tasks but could be worthwhile to review.
  • Strikethrough: Changes in functionalities not being used by CalMHSA or its supported counties.

Update: Client Flyout Options Changed

As mentioned in the Feb. 13 Bulletin, changes were made to the client flyout options on Feb. 28. Full changes can be viewed in this spreadsheet. Instructions for modifying custom county user roles to impact these views are available in the article “How to Edit the Client Fly Out Menu Options.”

Custom MAT Codes to Be Converted, Discontinued

CalMHSA has reviewed counties’ use of custom codes for medications for addiction treatment (MAT), and in the coming weeks will convert MAT custom codes to their appropriate procedure/NDC codes. Use of these custom codes will ultimately be discontinued.

Custom codes are not standardized across counties and follow a different numeric coding system (1000XXX) than CalMHSA standard procedure codes. Standardizing the codes will help ensure accuracy in billing, reporting metrics, data analysis and provider payment processes across counties. Each county using custom MAT codes will receive an email listing its specific custom codes alongside the CalMHSA standard procedure code that will replace it in SmartCare.

The existing button within SmartCare used for creating custom codes will remain. However, it will be actionable only for specific user roles. Any new codes created will be subject to review and deletion if an appropriate procedure/NDC code is identified.

Please reach out to Lisa Kirlin at lisa.kirlin@calmhsa.org or your county’s CalMHSA account manager with any questions.

Feedback Results: Staff Client Access Tracking Report

CalMHSA appreciates the feedback from all users who responded to a request about making the Staff Client Access Tracking Report — which shows which users have accessed a client’s record and when — available only to the County Affiliate SysAdmin user role.

Of the eight counties that responded (32 percent), six agreed this report should be limited to only the County Affiliate SysAdmin user role. In the other two counties, responses were divided between making the change and not making it.

Based on these responses, CalMHSA will change the permissions to ensure only the County Affiliate SysAdmin user role has access to this report. Please note that the CalMHSA SysAdmin user role will also retain access in order to support counties. This change will occur on March 7.
