This may be due to a few different issues.
- The Clinician who provided the service does not have the appropriate license/degree OR their license may be expired
- The selected program does not have this procedure code as an option.
Troubleshooting steps:
Check the clinician’s licenses/degrees.
- Click the Search icon.
- Type in “Staff/Users” in the search bar.
- Select “Staff/Users (Administration)” from the search results.
- This takes you to the Staff/Users list page. Find the Clinician and click on their name to access their Staff Details screen.
- Click on the Licenses/Degrees tab. Confirm that the clinician’s licenses/degrees are set up appropriately for their licenses. See Set the User’s Licenses/Degrees on requirements. Make any changes as needed. Make sure to check the expiration date – if the service is on a date that is not covered by the license dates, the staff will not have access to the procedure codes.
- Review the clinician’s licenses and compare to Appendix C – Licenses/Degrees to determine if the clinician’s licenses allow for use of that procedure code.
Check the program’s associated procedure codes.
- Click the Search icon.
- Type in “Programs” in the search bar.
- Select “Programs (Administration)” from the search results.
- This takes you to the Programs list page. Find the program in question and click on the program name.
- This takes you to the Program Details page. Click on the Rules tab and review the list of Procedures to determine if the requested procedure is included.
