For any staff/users who are direct service providers, complete this step, regardless if they can access SmartCare or not. A user’s licenses/degrees will determine what procedure codes they have access to.
- Click on the Licenses/Degrees tab.
- Add the user’s This is required for all direct service staff.
- Select “NPI” from the License Type/Degree field.
- Enter the NPI number in the License # field.
- Select California in the State field.
- Enter the Start Date. If you’re unsure of the start date, you can enter today’s date, or any date prior to today, to make sure the NPI is considered active.
- Make sure the Primary License checkbox is checked.
- Click Insert.
- Add the user’s primary If the user does not have a license, select Other Qualified Provider.
- Select the license type from the License Type/Degree field.
- Enter the license number, if applicable, in the License # field.
- Select California in the State field.
- Enter the Start Date. If you’re unsure of the start date, you can enter today’s date, or any date prior to today, to make sure the license is considered active.
- Enter the End The system won’t allow this user to provide services after their license expires.
- Make sure the Billing checkbox is checked.
- Click Insert.
- For Prescribers, add the DEA number.
- Select DEA from the License Type/Degree field.
- Enter the license number in the License # field.
- Select California in the State field. A prescriber may not be able to prescribe a controlled substance if their DEA number is in a different state.
- Enter the Start Date. If you’re unsure of the start date, you can enter today’s date, or any date prior to today, to make sure the license is considered active.
- Enter the End Date. The system won’t allow the user to prescribe controlled substances after the DEA number expires.
- Make sure the Primary License checkbox is checked.
- Click Insert.
- Add any other additional licenses by repeating step 4 above. Once you’ve added all the applicable licenses, click Save.
