June MSP in QA, Clinical Deployments to Note

The June MSP was deployed to QA systems on Aug. 5. An issue with inaccessible documents was fixed and deployed on Aug. 6. Some key clinical deployments in this build include: 

Preventing Users from Editing Services Outside Their Programs (Release Note Item #119) 
This development item is related to how CDAG and programs are meant to work. CDAG is meant to determine what users can see, while programs are meant to determine what users can edit. Previously, this was true for documents but not services. With the new deployment, a user who is not associated with a program will no longer be able to edit services for that program; they will be able to edit services only for their own programs (note: this does mean that administrative staff, such as sys admins, should be associated with all programs in order to be able to edit services). CalMHSA asks that counties test this as much as possible and provide feedback. 

Inquiry Overwriting Client Information Fields (Release Note Item #31) 
While not all client information fields were included in this build, it includes the overwriting of the guardian and emergency contact boxes. These boxes are hidden in the Inquiry, as these are entire sections that CalMHSA felt was unnecessary in the Inquiry Details screen. This build has remedied an issue that caused information to push back if the Inquirer matched a client’s contact. Because the hidden fields were always NULL (blank), the NULL value pushed back to the Client Information screen, basically unchecking the guardian checkbox for that contact person.  

 Other data being pushed to Client Information, such as the call back number overwriting the home phone number, is still being worked on. Also, please remember to turn on the inquiry locking functionality to help prevent inappropriate pushes to client information.

 

Counties Will Soon Be Able to Deactivate Documents

In response to discussion on the Sys Admin call July 30, CalMHSA is planning to initiate functionality that will allow counties to deactivate documents at the county level. This will help address the issue of some counties having access to many documents that they are not using, while other counties use them regularly. The new functionality will be enabled on Aug. 15; any county may submit feedback about this change. Knowledge base articles are being created and will be posted on the System Administration page under a new section called “Documents, Screens, & QuickLinks” by the end of this week.

Upcoming Changes to Procedure Codes/Services in Medication Rx 

CalMHSA will be changing the list of potential procedure codes/services that show up in the associated visit date on Medication Rx Screen’s Last Medication Visit and Next Medication Visit fields. The changes are being made because several procedure codes currently listed are not typically used for medication/prescription purposes. 

Beginning Aug. 22, the global code “MedicationVisitProcedure” will only include the following: 

  1. Assessment MD 
  2. Medical Service Existing Pt. 
  3. Medical Service New Pt. 
  4. Medication Injection 
  5. Medication Support Existing Client 
  6. Medication Support New Client 
  7. Medication Support Telephone 
  8. Medication Training and Support 
  9. Physician Consultation 

Please note that the EHR does not have a way to specify per visit or allow for customization, so end users should be aware that some of dates may not be truly reflective of a medication visit; therefore, if important, end users should confirm by reading the actual note or reviewing the calendar/schedule. 

 

New County Workgroup: Service Authorization Requests

At the Aug. 1county shared decision-making meeting Aug. 1, CalMHSA announced that the  Service Authorization Request workgroup will be re-initiated, specifically to review the current Service Request and Service Authorization process. The workgroup will likely meet every other week. County staff who participate should be knowledgeable about the real-world workflows at their county and will be expected to do training between workgroup sessions. CalMHSA will collect use cases, prioritize fixes, and make recommendations about what process changes are necessary.   

To sign up for the workgroup, email Charla Rowe ([email protected]) by Aug. 22. The first meeting will be scheduled for the first week of September. Invites will be sent to those who sign up. Additional questions can also be directed to Charla Rowe. 

 

New Configurations and Release Note Web Page 

CalMHSA has launched a new web page designed to centralize and streamline access to key updates and resources. On this page, counties will find: 
 

  • CalMHSA Configuration Changes: Summaries and explanations of any adjustments or updates made to CalMHSA-specific settings and configurations 
  • Release Notes for CalMHSA-Developed Modules: Up-to-date release notes highlighting enhancements, fixes, and new features released as part of CalMHSA’s custom-developed modules 
  • MSP Releases: Information and documentation on all standard Monthly Service Pack (MSP) releases
