Procedure Code Name Change Occurring July 26th 

To ensure clarity for users in selecting codes when writing services notes, some medical-related procedure code labels (Display As) will be changed at 4:30 pm on Friday, July 26th.  

The cross walk for the old display names to the new display names is located here.

The April and May MSP’s will be loaded into County Production environments July 29th  

In order to get caught up and stay current with SmartCare’s updates, we are loading 2 MSP’s this Monday. The Streamline staff and our helpdesk team have vetted these, they will be loaded before 8 am on Monday, July 29th.  

 

Upcoming Training on Key Supervision Reports July 31st 

Please mark your calendars for an upcoming training on using key supervision reports, July 31 from noon to 1 pm. All managers and supervisors who need to review reports for supervision are encouraged to attend. Register here 

 

Psych/Med Note Changes Starting August 5th 

We would like to remind all users that the changes – reviewed by county medical directors –will be deployed August 4th at 12 am.  

Account management will be contacting counties directly, and providing a listing of staff who have outstanding incomplete notes.  

Training about how to use the new template was previously relayed via email. If you or another member of your staff was not able to attend any of the three trainings, please reach out to [email protected] for assistance. 

 

Using the Special Populations Function 

In relation to CARE Act implementation, as well as county onboarding processes, CalMHSA has received various questions about special populations. To address those, we have written a protocol to help clarify how to use the Special Populations function in SmartCare. The article clarifies when to use a special population and when to use other tracking mechanisms, and includes more detail about the list pages and the widgets in development.   

 

Contract Provider Invoicing Updates Now Available 

The following updates are now available in the invoice generators for the 2023-24 fiscal year. The new versions can be found under the Contract Provider Invoicing Process section of the website.  

SMHS, DMC-ODS and DMC State invoice generators: 

  • Addition of the 99238 and 99239 billing codes to the Outpatient Rates tab 
  • Addition of Clinical Trainees to the Degree groups for all three invoice generators  

DMC-ODS and DMC State invoice generator-specific: 

  • Addition of the LVN, LPT and OT Degree groups to the DMC State and DMC ODS Invoice Generators  
  • Addressed an issue where Naloxone HCL – 2 pack (Narcan) was not populating a rate amount 

DMC State invoice generator-specific: 

  • The NTP rate tab is now available.  

 

Functional Key Phrases Created 

CalMHSA has created several functional key phrases, which allow data to be pulled in that is specific to the author and/or client. These functional key phrases are denoted with the following angle brackets “<  >”, which allows the system to distinguish the code between simple text and desired data to be pushed into key phrases. 

These key phrases can be found under the agency’s category “CalMHSA Keyphrases (DO NOT EDIT).”  We recommend that users copy and paste into other Key Phrases and/or categories if they choose to add them to custom key phrases. Registered Dieticians, with the license of RDN, have not yet been permissioned to use functional key phrases; this fix is planned for the week of July 29th.

Connex User Guide Now Available 

The CalMHSA Connex User Guide is now available. It can be found on the left-hand navigation menu of the website.

MAR Report Enhancements Made 

CalMHSA has enhanced the MAR Report for use by counties that are using the MAR for medication tracking purposes, allowing teams — primarily those in the inpatient, CSU and residential units — to sort by units, beds and patients, and the status of medication administration across time. More details and instructions on how to create the report are available on the website
