Confirmation of Eleos Users Due Feb. 27

Any county that would like to begin using Eleos, the ambient AI note taking tool in SmartCare, should submit a confirmed number of users to CalMHSA no later than end of day on Friday, Feb. 27. Visit the website for more information about the tool, including demo videos.

Upon receipt of each county’s confirmed user count, CalMHSA will follow up with a contract amendment and next steps for an implementation kick-off. Questions? Please contact Brittany Ganguly or your CalMHSA account manager.

 

 

ASCMI Form Available in SmartCare, CCC Deactivation March 31

As a reminder, the new Authorization to Share Confidential Member Information (ASCMI) form is available in SmartCare for immediate use. Counties should begin using the ASCMI form to document a client’s consent decision regarding the sharing of protected health information.

Please note that the current Coordinated Care Consent (CCC) form will remain available in SmartCare through March 31 to allow for an orderly transition. After March 31, the CCC form will be deactivated in SmartCare, and organizations should fully transition to the ASCMI form for all applicable use cases. Additional ASCMI guidance and training, including recordings of two webinars we recently offered, are available on the website. Deactivating Direct Service Staff in SmartCare

CalMHSA has issued standardized guidance for managing SmartCare user accounts when direct service staff depart from an organization. The process follows three phases:

  1. Removing login access on the provider’s last day
  2. Completing caseload, documentation, and billing, and prescribing cleanup within 90 days
  3. Fully deactivating the account once all cleanup is confirmed

This guidance supersedes any prior informal guidance on this topic; please share with your system administrators, supervisors, billing staff, and clinical leads.
