Upcoming Connex Webinar: What Questions Do You Have?
The CalMHSA Connex team is preparing for an upcoming webinar on Nov. 20, CalMHSA Connex: Consent Strikes Back, to further discuss consent in data sharing and CalMHSA’s plan for addressing the ASCMI requirement. Special Population (My Office) List Page Updates
Minor changes have been made to the filters on the “Clients with Special Populations” list pages. Users will now see a filter labeled “Date Range Type,” which works in conjunction with the date range filters. The new filter has three options:
- Active: Returns any clients who had an active special population during the date range (e.g., “Which clients were considered “Katie A” during July 2025?”)
- Started: Returns any clients who have a special population record with a start date within the date range. (e.g., “Which clients were added to “Katie A” during July 2025?”)
- Ended: Returns any clients who have a special population record with an end date within the date range. (e.g. ,”Which clients were determined to no longer be “Katie A” during July 2025?”)
These updates should help users better sift through the data. Located on the “Clients with Special Populations (My Office)” and “Clients with Special Populations (SUD) (My Office)” list pages, this change is currently in QA systems and will be deployed to production systems this weekend.
Help Desk Closed on Veteran’s Day
CalMHSA and the Help Desk will be closed for the Veteran’s Day holiday on Tuesday, Nov. 11.
Creating Permission Records
Per last week’s Sys Admin meeting discussion, CalMHSA has posted a new article describing how to create a new permission record, and how this new permission can be granted to user roles. Permissions may be created for a specific field, button, or action on a screen. We recommend using caution when creating permission records, as the record created will exist only in your county’s instance of SmartCare, and the Help Desk may have difficulty troubleshooting issues related to this permission. Additionally, please keep in mind that no users roles will automatically be granted the newly created permission.
SmartCare Now Supports CYBHI Services
SmartCare now supports DHCS Children & Youth Behavioral Health Initiative (CYBHI) services. In this documentation from DHCS, the yellow highlighted procedure codes have been added. We also introduced a new Mode of Delivery for “Dyadic Services” that is available on selected procedure codes.
The procedure code and license definitions will be updated on the website by the end of this week. Counties interested in billing out of SmartCare under this initiative should contact [email protected] for assistance with implementation. The initiative fee schedule is available here.
New NDC Codes Added
CalMHSA has added to SmartCare the new NDC codes included in DHCS’s July 11, 2025, spreadsheet. The rates for those codes are also being added. The new codes can be found in the updated Procedure Code and License spreadsheet on the website.
