Common Questions About CARE Act, Link to Nov. 8 Webinar
On Nov. 8, CalMHSA hosted a CARE Act in the EHR webinar. Since then, some common lines of inquiry have emerged; below are answers to those questions.
Additionally, a link to the webinar recording is available here (passcode: WlbS9fd@).
- County QA environments are not synced with CalMHSA QA. This means that permissions, user roles and any other setup that has been completed by CalMHSA manually will NOT be present in county QA environments. All required information, including related permissions, is included in the System Administration knowledge base articles.
- The CARE Act protocol page has been updated to include links to all related knowledge base articles. Pages have also been updated as necessary.
- The CARE Act protocol page has been updated to include a list of known issues. Counties should report issues via the Help Desk, as with other issues. These will be updated as updates occur.
- The request to add CARE Act related items to the Inquiry Type has been completed in Production. This was done manually and will, therefore, NOT be in county QA systems (see #1).
- The request to add CARE Act related items to the Appointment Type (calendar events) has been completed in Production. This was done manually and will, therefore, NOT be in county QA systems (see #1).
While CalMHSA works to schedule a training for staff, we suggest that you do not wait to train staff on the process. The upcoming training will include an overview of the documents themselves. However, as with any documents, the process remains open document, complete document, sign document.
Seclusion and Restraint Training – New Session Nov. 25
The second session of the Seclusion and Restraint training will be held at noon on Nov. 25. All MD, NP, RN and other relevant clinical staff are encouraged to attend this training, which will cover the new user workflow for clinical staff, focusing on inpatient and residential settings. Participants will also learn to create reports to support clinical and medical teams when ordering seclusion and restraints, safety checks, observation checks and denial of rights, and their associated documentation. Time will be allotted for user questions, as well. To register, follow this link. A recording and training deck will be sent to participants following the session.
Live Chat To Be Upgraded Beginning Tomorrow
An upgrade to new chat software, effective Nov. 21, will enhance both agent capabilities and end-user experience. Counties can continue to access live chat on the 2023.calmhsa.org site, but please note that the interface may look slightly different.
Contractor Provider Charge Export Report
A new parameter — Include County Created Procedures — has been added to the contract provider charge export. This feature allows counties to include county-created procedures in the export. By default, the radio button is set to “False,” which excludes county-created procedures.
Service Authorization Request Training Dec. 6
On Dec. 6 from noon to 1 p.m., CalMHSA will present a training on the service authorization request and approval process. The session will include system setup, the end-user process, billing ramifications, and known issues. Register here.
Reminder: No Bulletin on Thanksgiving Week
The EHR Bulletin will resume publication on Dec. 5 following the Thanksgiving break.

Upcoming Initiatives
Please note this week we have chosen to not distribute an initiatives list as we are in the midst of changing some internal processes including what is included within this document. The initiatives list will very likely resume distribution in the next newsletter. We thank you for your patience.
