Counties May Continue to Use SmartCare ASAM Assessment Tool 

The Department of Health Care Services understands that requiring counties and their providers to implement the third edition ASAM assessment tool by January 2025 would impose additional and unnecessary administrative burdens.  For that reason, the state will allow counties to continue using the SmartCare’s ASAM tool until new guidance is released, which will include a revised implementation date for the ASAM fourth edition tool – tentatively July 2025.

Addressing Issues Within Medication RX and Client Orders 

CalMHSA is working with Streamline to address issues identified with Medication RX, Client Orders and lab orders, including order frequency display labeling and other functionalities. We expect to roll out changes in these areas over the next two weeks.  

Please note: The display label of the “Daily” order template frequency has been changed to “DO NOT USE” because it was previously marked as a PRN and showing up inappropriately on the MAR. This will impact only non-lab orders within Client Orders, including existing orders’ labels and functionality. Counties should use (or change orders) to the frequency “Once a Day (QD)” or “Once a Day as Needed (QD PRN).”  

Other changes planned for the coming weeks include: 

  • Relabels without impact on functionality: 
    • Change “As Directed ONE TIME/PRN (SET 1 TIME/DAY MAR ONLY) – See Instructions” –> “As Directed – See Instructions (ONE TIME or 1 TIME/DAY)” 
    • Lab order frequencies’ display labels to ensure consistency  
  • The following order frequencies will be labeled “DO NOT USE” while we work with Streamline to replace any existing orders with the correct version and minimize additional work for your staff:  
    • As Directed As Needed PRN – See Instructions–> As Directed as Needed – See Instructions (SET ONE TIME OR 1 TIME/DAY) 
    • Once PRN –> Once As Needed (PRN) 
  • Disable without replacing: 
    • Every 48 hours (Q48H) will be labeled to “DO NOT USE,” and eventually be disabled. This order frequency does not work properly as we have learned from Streamline. We have an enhancement request to improve this 
  • Planned additions: 
    • 2x a week (Designate Days of the Week) — end user will select which day(s) of the week. 
    • 3x a week (Designate Days of the Week) — end user will select which day(s) of the week. 
    • 4x a week (Designate Days of the Week) — end user will select which day(s) of the week. 

 

New Location Supports Justice Involved Initiative Billable Services 

A new location in the EHR’s Place of Service on claims — called Justice Involved Initiative, ID 55 — has been added to the primary system. It will report the Place of Service #09 (prison/correctional facility) on 837 claims.  

The purpose of this new location is to support the new justice-involved initiative billable services. The existing location, prison/correctional facility, will continue to not be billable. 

 

 

CARE Act Webinar Moved to Nov. 8 

Join us for the CARE Act in the EHR: An Overview webinar on Nov. 8 from 10 a.m. to noon. This webinar was rescheduled from Nov. 7 due to a conflict; if you had previously registered, please double check your registration, as some users have reported a Zoom issue. 

 

Upcoming CalMHSA Connex Maintenance

All Connex users were sent an email notification about upcoming maintenance to the Connex site on Nov. 3 from 9 a.m. to 5 p.m. (PT). Please reference the email sent by [email protected] for more details and reach out with any questions. 

November office hours: The next monthly Connex office hours session is set for Nov. 20 from 11 a.m. to noon. Please register here. 

 

CalMHSA Team Planning Week of Nov. 11, Meetings Rescheduled 

CalMHSA’s offices will be closed Nov. 11 for the Veteran’s Day holiday. From Nov. 12-14, our team will be engaged in planning sessions for purposes of optimizing the EHR. While the Help Desk will remain available, regularly scheduled meetings during that time will be rescheduled.
