CARE Act CPT/HCPCS Code Crosswalk

Overview

The CARE Act monthly reporting during the Active Service phase of the CARE Act requires BHPs to report on what services are currently on the client’s CARE Plan/CARE Agreement and which of those services were provided or not provided during the reporting period. The CARE Act Data Dictionary includes a list of services that DHCS is tracking. Unfortunately, these do not match up 1:1 with CPT/HCPCS codes. CalMHSA has therefore created a method of having a crosswalk in SmartCare to link a CPT or HCPCS code to a CARE Act service type. Then when a user is completing the monthly CARE Act Reporting Document, SmartCare can check the service charge records to determine which CPT/HCPCS were provided to the client and crosswalk them to the CARE Act service types.  

CalMHSA deployed an initial crosswalk to all county instances of SmartCare, but a county may have their own custom codes that they want to crosswalk as well. Follow the steps below to add to or modify this crosswalk.  

Creating a New Record

  1. Navigate to the CARE Act Services to CPT Codes list page.
    1. Click on the Search icon.
    2. Type in “CARE Act Services” in the search bar.
    3. Click to select “CARE Act Services to CPT Codes List (My Office)” from the search results.
  1. Click on the New icon.
  1. This takes you to the CARE Act Services to CPT Codes Details screen. Select the CPT/HCPCS code you want to use. This field is limited to only those codes that exist in your procedure rates tables.
  1. This will grey out the CPT/HCPCS code field. All items entered on this page will be related to this CPT/HCPCS code.
  1. Select a modifier if needed. This field is limited to only those modifiers that exist in your procedure rates tables.
    1. Note:  The HK modifier cannot be selected since HK is not a modifier in the procedure rates table, due to the way the HK modifier is added to claims. For these services, a stored procedure will determine if services should be tracked as ICC rather than TCM for the purposes of CARE Act State Reporting.
  2. Select the CARE Act Category.
  3. Select the specific CARE Act Service.
  4. Select the Service Area.
  5. Check the Active checkbox.
  6. Click Insert.
  1. This will add this association to the CARE Act Category/Service List section. Repeat steps 5-10 until all associations for this CPT/HCPCS code are completed.
  2. Click Save.

Updating an Existing Record

  1. Navigate to the CARE Act Services to CPT Codes list page. 
    1. Click on the Search icon. 
    2. Type in “CARE Act Services” in the search bar. 
    3. Click to select “CARE Act Services to CPT Codes List (My Office)” from the search results. 
  1. Select the code you want to update. 
  1. This takes you to the CARE Act Services to CPT Codes Details screen. Select the specific record you want to edit 
  2. This pushes the information to the top section. Make your updates and click “Modify” 
  3. Click “Save” to save the changes.
