CalMHSA 300- Programs Dashboard Report (My Office)

This report is designed to display an overview of the user selected programs’ productivity within a set time period. This includes the number of clients served, number of admissions and discharges, services with travel, services with documentation time and an analysis of the top 10 service locations.  It will also show in numerical and graphical form, the percentage of time direct care minutes by race/ethnicity, percentage of clients served by race/ethnicity per program.  Next there is a section showing the services by unit type and staff degree with a distinct count of staff, total minutes and percentage for each license/degree.  In addition, the report will also show the number of distinct clients, services, current balance, and paid amount by Payer Name.   There will also be a section for total minutes per month in a line graph and finally a breakdown of services by MH and SUD with a distinct count of clients, percent of services, percent of minutes per distinct procedure code. All services data that are being pulled by the report are regarding services in either the “show” or “complete” status. The report will utilize CDAG functionality to enforce CFR-42 Part B security.

  1. Click on the Search icon.
  2. Type CalMHSA 300 in the search bar.
  3. Select CalMHSA 300 – Programs Dashboard Report (Office) from the search results.

Filters

This will bring up the CalMHSA 300 – Programs Dashboard Report. Use the filters as needed.
    1. Start Date: A date filter where users specify the beginning of the data range they wish to view
    2. End Date: A date filter where users specify the end of the data range they wish to view
    3. Programs: A dropdown filter where users can specify which Programs to pull data from. The list of the programs is based on the login user’s CDAG and the programs they’re associated with on their Staff detail screen.
  1. Click View Report.

Sections

    1. Programs(s): Displays all programs that been selected through the Programs filter.
    2. Service Information: Displays the following information per the selected Programs:
      • Serviced: Display the total number of clients that been served
      • Admits: Displays the total number of clients that been enrolled
      • Discharges: Displays the total number of clients that been discharged
      • Services with Travel: Displays the total percentage of services that had it’s “Travel Time” field filled out
      • Services with Documentation Time: Displays the total percentage of that had it’s “Documentation Time” field filled out
    3. Services by Top 10 Locations: Display the top 10 locations the program had services done at. This is filled out by the “Location” field.
      • Location: Display the name of the location
      • Services: Displays both total number and percentage of services that were done at that location
      • Distinct Clients: Displays both total number and percentage of clients that were served at that location. If a client been served more than 1 time at the location, then the report will count them as just 1.
    4. Services By Race/Ethnicity Group: Displays the percentage of each race/ethnicity group that have been served by the programs within the time range set by the Start and End Date filters.
    5. Services By Unit Type and Degree Group: Displays the following information regarding the number of services done by degree groups. The time range set by the Start and End Date filter is used to specify both the date of services and degree active date.

      • Services: Displays the total number of services that are being billed to the insurance
      • Current Balance: Displays the total amount that is being billed to the insurance
      • Paid: Displays the total amount that been paid by the insurance
    7. Total Minutes per Month: Displays a line graph chart with one line representing the total sum of service time in minutes and another line representing the total sum of Documentation and Travel time in minutes.
    8. Services by Procedure Code Group: Displays the following information regarding procedure code groups
      1. Area: Displays the service area the service was under. Either SUD or MH.
